1. Who we are and what this policy covers
This website (akhilaminc.com) is operated by Akhilam Consulting LLP ("Akhilam", "we", "us"), an enterprise systems and digital transformation consultancy registered in India, with its office at The Gallaria, 462-464, near Sanjeev Kumar Auditorium Road, Adajan Gam, Surat, Gujarat 394510, India.
For the personal data described in this policy, Akhilam decides why and how the data is used. That makes us the Data Fiduciary under India's Digital Personal Data Protection Act, 2023 (DPDP Act) and the controller under the EU and UK General Data Protection Regulation (GDPR), where they apply.
This policy covers:
- visitors to this website;
- people who send us an enquiry, request a white paper, call or email us;
- contacts at our clients, prospects, partners and suppliers;
- people who apply for a job with us.
It does not cover the personal data inside our clients' business systems that we handle while delivering a project. That data is covered by our contract with the client; see section 5.
2. Personal data we collect
Information you give us
- Enquiries and consultation requests: your name, business email address, company, role, the area you need help with, your message and, if you choose, your website and phone number.
- White paper requests: your first name, business email address and company.
- Calls, emails and meetings: the contact details and information you share with us, and notes of what we discussed.
- Job applications: your CV and the details you send us directly or through recruitment platforms such as LinkedIn.
Information collected automatically
- Technical data: IP address, browser and device type, and approximate country. We use it to keep the website secure, prevent spam and abuse of our forms, and diagnose problems.
- How you found us: the campaign tags in the link you followed (for example
utm_source), the referring website and the first page you visited. This is kept in your browser for the current visit only and is sent with your enquiry if you submit one. - Usage analytics: pages viewed, clicks and similar events, only if you accept analytics cookies (see section 6).
We do not ask for, and ask you not to send, sensitive information such as financial account numbers, government identity numbers or health data through our website forms.
3. How we use it and why we are allowed to

We do not add you to mailing lists from an enquiry. We send newsletters or updates only if you have asked for them, and every message includes a way to stop receiving them. We do not use your personal data for automated decision-making that has legal or similarly significant effects on you.
5. Client data in our consulting and implementation work
Our work involves ERP implementation, finance and FP&A automation, HR and payroll, procurement, sales, warehouse, manufacturing and data integration projects. During these projects we may have access to personal data held in a client's systems, such as employee, customer, supplier or candidate records.
- For that data, the client is the Data Fiduciary / controller and Akhilam acts as a Data Processor / processor. We process it only on the client's documented instructions and under a written agreement with confidentiality and data protection terms.
- Access is limited to the people working on the engagement, on a need-to-know basis. Where practical we work with test, sample or masked data rather than live personal data.
- We do not use client data for our own marketing, sell it, or use it to train general-purpose AI models.
- At the end of an engagement we return or delete client data as agreed in the contract, unless the law requires us to keep it.
- If we become aware of a personal data breach affecting client data, we inform the client without undue delay so they can meet their own notification duties.
If your data is held by one of our clients and you want to exercise your rights, please contact that organisation directly. We will support them in responding.
7. International transfers
We are based in India and work with clients in India, the United States, Europe and Asia-Pacific. Some of our service providers store or process data outside India, for example in the United States or the European Union. When we transfer personal data:
- we do so as permitted by the DPDP Act, and not to any country the Government of India restricts;
- for data covered by the GDPR, we rely on safeguards such as adequacy decisions or the European Commission's Standard Contractual Clauses (and the UK equivalent).
8. How long we keep it
- Enquiries and white paper requests: up to 24 months after our last contact, then deleted, unless you become a client.
- Client and contract records: for the duration of the relationship and afterwards for as long as tax, accounting and other laws require.
- Job applications: for the recruitment process, and afterwards only if you agree we may keep your details for future roles.
- Analytics data: up to 14 months.
- Security and spam-prevention signals: only as long as needed to protect our forms, normally a few days.
When we no longer need personal data, we delete it or make it anonymous.
9. How we protect it
We use reasonable security safeguards appropriate to the data. These include:
- encrypted connections (HTTPS);
- access limited to people who need it;
- multi-layer spam and abuse protection on our forms;
- collecting only the information we need;
- contractual obligations for our service providers.
If a personal data breach occurs, we will notify the Data Protection Board of India, the relevant supervisory authorities and affected people where the law requires.
No method of transmission or storage is completely secure, but we work to protect your data and to respond quickly to any incident.
10. Your rights
Depending on where you live, you have the right to:
- Access: know what personal data we hold about you and how we use it.
- Correction and updating: have inaccurate or incomplete data corrected.
- Erasure: ask us to delete your data when we no longer need it or you withdraw consent.
- Withdraw consent at any time. This does not affect processing that already happened.
- Grievance redressal: have a complaint handled by our Grievance Officer.
- Nominate another person to exercise your rights in the event of death or incapacity (India).
- Restrict, object to or port your data (EU and UK).
- Know, delete and correct your data, and opt out of its sale or sharing (certain US states). We do not sell or share personal data.
To use any of these rights, email contact@akhilaminc.com. We may need to confirm your identity before acting on a request. We respond within 30 days, and we do not charge for reasonable requests.
If you are not satisfied with our response, you can complain to:
- the Data Protection Board of India;
- if you are in the EU or UK, your local data protection authority.
11. Children
This website and our services are intended for businesses and professionals. They are not directed at anyone under 18, and we do not knowingly collect personal data from children. If you believe a child has sent us personal data, contact us and we will delete it.
