Solving the Business challenges for the Industrial Sewing Machine Parts & Spare Dealer

Do you know the biggest challenge for the Industrial Sewing Machine Parts & Spare Dealer?  And How do you make Item search efficient, quick, and accurate?

Our Client is a Dealer of the Industrial Sewing Machine Parts and Spares. And, they sell more than 10,000 SKUs. They sell it from two different branches and each branch has different stock available also, items are stored in different BINS at different locations of selling.

They had Challenge in Finding an Item. The reason is an item contains distinguished details. Starting from Item Name, Aliases, Description, Group, and BIN Numbers.

So, Our Client wanted to achieve two things; Item view cards and One Click Material Request. Here are the requirements in detail for each key point

Item View Cards:

  • Able to search Item with Item Name, Aliases, and Item Group.
  • Item View Card must contain:
    • Item Image, Item Group, Category, Reorder Level
    • Transit Date
    • Location 1 – BIN & Stock – Location 1
    • Location 2 – BIN & Stock – Location 2
    • Dealer Price, Retail Price

Material Request: 

  • Able to search Item with Item Name, Item Group, Aliases.
  • Material Request Card must contain:
    • Item Image, Item Name, Item Group, Category, Reorder
    • Location -1 Stock
    • Location – 2 Stock
    • Cost, Last Vendor, Last Qty
    • Able to put QTY
    • Able to Generate Material Requests by clicking on Request.

Other Key Challenges:

  • Order reordering doesn’t work in the current system.
  • Lack of Stock Level Insights.
  • Duplication of Material Request for the same SKU happens.
  • Dynamic search for Item
  • Maintain Customer Record
  • Customer Inquiry Record
  • Location-wise setup

Our Team met the client and understood their pain points. After collecting all the required details, our team suggested implementing the below things to solve the client’s challenges.

Custom Page Development Frappe:

Item Card: We have developed an Item card that contains the details that the client asked us for.

Functionalities:

  1. Dynamic Search filer
  2. Item Card View with required details.

As you can see from the below image, we have added all the things in Item Card, it will help clients to have better insights about the Item, Reorder Stock Level at different locations, Pricing List, and BIN.

If the Item is below Reorder Level it will show in Red. And, if it’s above the Reorder level it will show in Green.

Material Request: We have developed Material Request Card same as the Item View card and it contains the details the client requested for.

Functionalities:

  1. Dynamic Search Filter
  2. Material Request Card View

As you can see from the below image, we have made it easy to generate a material request for a client. It gives key information like Purchase in CNY, Default Supplier, Last Purchase Price, Last Purchase Supplier, and other details as per the below image.

Also, it gives ability add QTY and make Material Request directly from here.

Change Price List from Google Sheet:

Our Client is experienced with Excel and they manage the price list in Excel Sheet. And, as per the need for price change, they make changes in Item Prices. It’s becoming monotonous work to change the price of an Item in software every time.

To overcome this challenge, our technical team decided to integrate Google Sheet with ERPNext Pricing List. Because the client is experienced and habitual in excel. And, it’s easy to change the price in excel as the client can set the profit margin and can see how much profit they are making in excel.

Once the Client set the price and clicks on the Sync Button, the prices in ERPNext for those items will be changed.  

Customer Management:

  • Provided the mechanism to manage and filter customs based on Category, Salesman, Turnover, and Hashtag.
  • On Click of Customer, the ability to check the key information about the customer like Total Billing Amount and Total Paid Amount.
  • Credit and Payment Management
  • Ability to set Pricing Rule for Customer
  • Location-wise Customer Management.

Lead and Enquiry Management:

  • Ability to add lead into the system.
  • Ability to create lead into opportunity and convert it into the Quotation, and the rest Sales flow.
  • For Enquiry Management, we have provided them a mechanism so they can store the inquiry in a single place and when stock becomes available, they can directly send an email to the customer.

Reports:

  • Daily/Weekly/Monthly Profit and Loss Report
  • Sales Person wise Sales Report
  • Customer-wise Sales Analytics
  • Item Wise Sales Analytics
  • Branch-wise Sales Analytics
  • Stock Ledger
  • Sales Invoice Report
